Buffalo, NY $55,000$60,000, possibly more, depending on experience

A well-established law firm is seeking a full-time Paralegal/Administrative Assistant to support attorneys within its School Law Practice Group in the Buffalo office. This position is ideal for an organized, detail-oriented legal professional who enjoys a fast-paced environment and working closely with attorneys and clients.

The role provides support on matters involving public school districts, boards of education, and other educational institutions.

Key Responsibilities
  • Prepare, proofread, and format legal documents, correspondence, memoranda, contracts, policies, pleadings, and discovery materials.
  • File documents with New York State and federal courts and administrative agencies, including NYSED, EEOC, and PERB.
  • Assist with legal research and cite-checking and maintain familiarity with school law terminology.
  • Manage attorney calendars, including client meetings, hearings, deadlines, and court or administrative appearances.
  • Organize and maintain electronic and paper case files while ensuring accuracy, confidentiality, and compliance with firm procedures.
  • Coordinate with clients regarding document collection, signatures, scheduling, and follow-up.
  • Track deadlines related to grievances, disciplinary hearings, FOIL requests, and board of education meetings.
  • Prepare packets, exhibits, hearing binders, and presentation materials.
  • Enter and track billable time and assist with monthly billing.
  • Handle general administrative duties, including mailings, scanning, copying, and phone coverage.
  • Perform other duties as assigned.
Qualifications
  • 3+ years of experience as a legal assistant or paralegal; experience in education law, labor/employment, or litigation is strongly preferred.
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook, as well as document management systems.
  • Knowledge of New York State legal procedures and court/agency filing requirements.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Professional and comfortable interacting with attorneys, clients, court personnel, and administrative agencies.
  • Ability to manage multiple priorities, meet deadlines, work independently, and collaborate effectively with a team.

Salary: $55,000$70,000, negotiable based on experience.
