Our manufacturing client in Vaughan is seeking a highly organized Maintenance Administrator (Maintenance & Tech Services Coordinator) to support maintenance, engineering, procurement, and capital project activities.

- ERP/CMMS and maintenance coordination (35%) - administering asset and work-order records, tracking maintenance activity and costs, coordinating service providers, and preparing reports.
- Maintenance and engineering procurement coordination (25%) - preparing RFQs, organizing quotations, creating requisitions and purchase orders, tracking deliveries, expediting critical shortages, supporting vendor onboarding, and resolving invoice/payment issues.
- Capital project and contractor coordination (15%) - supporting approved projects through budget and commitment tracking, scheduling, contractor onboarding, safety documentation, shutdown planning, and project close-out.
- Technical document control and records management (15%) - maintaining drawings, manuals, OEM documentation, quotations, reports, and project records, including revision control and departmental repositories.
- Financial, HSE and department support (10%) - reconciling purchase orders, receipts and invoices; supporting budget and audit reporting; and maintaining assigned training, contractor, HSE and corrective-action records.
- 2-year college certificate required; 3-year diploma preferred
- 1-3 years of related experience (3-5 years preferred)
- Background in Business Administration, Office Administration, Supply Chain, Project Management, Engineering Technology, or a related field
- Experience with ERP/CMMS systems and purchasing processes
- Strong Microsoft 365 skills
- Excellent organizational, communication, and multitasking abilities
- Experience with document control, technical records, and manufacturing environments preferred
